Also, you may want to consider the following check list:
  • Will there be a head table?  What size?  You should have at least 4 feet of space in front of and behind the head table for ease of traffic.
  • Will there be a dance floor and/or stage?  What size?  (Please check our Dance Floor Sizes  section and Staging section to determine what you need.)
  • Will there be a buffet table or bar?  How many?  Depending on the size of your event and which items you would like to have available to your guests throughout the event timeframe, you may want to have more than one buffet:  one buffet for appetizers and dessert, one for dinner, and one for drinks (alcholic, non-alcoholic, coffee, tea, softdrinks).  You should have at least 4 feet of space in front of and behind each buffet for ease of traffic.
  • Will you need a table for gifts? 
  • How many tables will be inside the tent?  Take into account whether you will have 8 or 10 people seated at each table, and also plan for at least 5 feet of space between the tables so people have room to get in and out of their chairs, and still have room to walk between tables.
  • Will you have a band?  If so, be sure to move tables that are directly in front of the amplifiers a slightly longer distance from the stage to protect your guests' hearing, especially children.  (Be sure to position the children's play area far away from the band and amplifiers.)
  • Will you have a play area for young children?  Setting aside some space for children often works very well, allowing kids to be kids while allowing adults to be kids as well.  You can designate a parking area for strollers, a mat with toys for the toddlers, a shorter dining table for the children, small pillows and blankets for nap time, and a special buffet with finger foods for youngsters.  We recommend you designate at least 1 or 2 adults to supervise this area, depending on the number of children involved and their ages/maturity.
  • Depending on the season, you may need an area for coats and umbrellas.
By taking into account all of these factors and elements, you will ensure that your guests have an enjoyable and comfortable time at your event.
